Integrating with TrustID

Enhance staff onboarding with this integration. TrustID digital identity services are approved by UK government for Right to Work checks.

TrustID is a fast and effective identity verification validation technology (IDVT) which helps with compliance checks to streamlines staff onboarding. 

 

Before you get started 

TrustID operates on a credit basis, please contact Kobas Support to purchase credits. 

To access to Right to Work page managers will need access to the following Staff User Permission Level:

  • Teams > Onboarding

Sending Right to Work checks

Once the TrustID credits have been loaded into your account, Right to Work checks can be sent

To send check to your staff members:

  • Head to Teams > Right to Work
  • Find staff member or new starter
  • Press Initiate Check to send email to staff member or new starter
  • The selected staff member will receive a Guestlink email from noreply@kobas.co.uk containing a QR code and link to start their Right to Work verification. The Guestlink email typycally valid for 14 days from the date of issue or until the check is completed. Kobas and TrustID are unable to issue Guestlink emails or forward 

Warning: Emails will not be received if a staff member's email is incorrectly entered into their staff profile, please check their email address is correct before sending the Right to Work check. If the check is sent to an incorrect email, you will need to wait 2 days before resending the check to the updated email address.

  • Staff member or new starter completes the steps with TrustID and submits their Right to Work documentation

  • TrustID checks the correct documents have been submitted and are valid. They will also check that the staff member meets Home Office standards for identity assurance and has the Right to Work in the UK. TrustID has a target response of 2 hours, 365 days a year, between their business hours of 8am-midnight.   • When the staff members Right to Work report is available, it will be available and downloadable in Teams > Right to Work
  • The onboarding manager must complete a final verification to ensure the staff member presenting for work matches the identity confirmed by TrustID. This check can be carried out in person or via video call and is essential to maintain statutory excuse. Mark this step complete by passing the Right to Work new starter task in the staff member’s profile.
