Challenge 25 and other logging requirements

The authorities that govern our work often place requirements on us to log our actions, so that we can prove our due diligence in that area. Here's how Kobas can help.

Introduction

There are many regulatory tasks placed on the hospitality operator. The most obvious being the requirements under the "Challenge 25" (or similar) schemes around alcohol licensing, as well as food safety legislation.

Some of these requirements are complex and will require you to keep specific and cumbersome records, plans and logs. Unfortunately, Kobas can't complete these for you. However, Kobas can assist you, particularly where your front line staff maybe required to log routine actions to contribute to these logs.


EPoS Items

How: This is achieved by setting up EPoS Items with zero price and no ingredients. 

Example: EPoS Items could be called "ID Accepted, No ID, Fake ID".

Evidence: Either periodically, or when requested, you can pull this information using the Specific Item Sales report (within Reports > Revenue Analysis). 

ScenariosThis could be used for licensing compliance for ID checks and refusal of service. It can also be used for toilet checks (for internal policy compliance) or similar activities.

The advantage of this option is that it is available to all Till Users without requiring additional permissions for Kobas Cloud.

Warning: Make sure the EPoS Item doesn't have a cost or retail price, or any ingredients attached.


Incident Log

How: This is achieved by activating Incident Logs as part of the Closing Tasks process for your venue.

Example: When completing closing tasks, any number of incidents can be recorded. You can contact the Support Help Desk to create further Incident Types to better record and log any activities you require. Documents can be attached to incidents as well as free text.

Evidence: You can use the report Reports > Operations Analysis > Incident Report and define a date range and venue.

Scenarios: This could certainly be used to replace a physical Accident Book, H&S incident reporting logs, significant Licensing/Police incidents, complaints/visits and anything of that nature. This is also great for recording Lost Property.


Daily Tasks

How: This can be achieved by setting up your Opening Checklist, or defining In-Shift Tasks for your venue.

Example: You can define checklists around public liability checklists such as this example:

Evidence: Compliance can be viewed by going to Daily Tasks > Venue Checklist Logs (if using Opening Tasks) or by going to Daily Tasks > Shift Logs (for in-shift tasks)
